What to put in a professional email signature (and what to leave out)

A great signature answers three questions — who you are, how to reach you, and what to do next — without turning into a business card collage.

Your signature appears at the bottom of every email you send, which makes it some of the most-viewed branding you own. The goal isn't to fit everything in — it's to make the next step obvious.

The essentials

  • Full name and job title.
  • Company name, ideally with a logo.
  • One phone number and one website — not every number you have.
  • A headshot if you work in sales, client services, real estate or anywhere relationships matter.

One clear call to action

Pick a single action you want readers to take: book a call, see a new product, read a case study. A button-style link or a slim banner beats a row of competing links.

What to leave out

  • Inspirational quotes and long legal disclaimers (unless your industry requires one).
  • More than four or five social icons — choose the networks you actually use.
  • Text baked into images. Contact details should be real, selectable text so they're searchable and accessible.
  • Multiple fonts and colours. Stick to your brand's primary pair.
